DMS Navigator has updated its dealer management system to be fully GDPR-compliant and is launching a GDPR ‘data cleansing’ service for its customers.

The service helps to ensure customer data is compliant with the new EU regulations, taking place in May 2018, and keeps the data useable and up-to-date – avoiding the new fines of up to 4% of turnover or £17.5m.

DMS Navigator’s managing director, Simon Verona (pictured), said: “GDPR is designed to enable individuals to better control their personal data.

“It is an ‘opt in’ system, where businesses must prove they have customers’ permission to use data and exactly what they have given permission for.

“It’s a huge change for the entire motor industry and businesses at large.

“But GDPR is an ongoing process, not just a one-off action.

“Dealers must comply with GDPR before it goes live as well as on an ongoing basis, but we have got their back both in preparing for GDPR and after, so they can be confident that the data they use remains valid and legal.”

Gaining permission from the customer is key to the use of their data.

Dealers must request permission and it must be given explicitly, with customers choosing what their data can and cannot be used for.

DMS Navigator's data cleansing will be an automated monthly process, reviewing customer and vehicle databases, updating contact details, cross-referencing against permissions and checking any customer opt-outs.

In addition, it provides audits showing GDPR compliance, giving evidence that all data in use is up-to-date and has the relevant permissions.

“Dealers can only use data for as long as it can be demonstrated it is for a current use, so Navigator has a ‘time out’ function that prevents use of dormant data after certain times,” said Verona.

“It is a ‘washing’ of the data to ensure only the freshest details, with permissions, can be used.”

“Any business using customer data will soon have to demonstrate they have appropriate controls and permissions in place and that they comply with the GDPR. Our DMS delivers this at an affordable price and in a quick and easy manner.”

All Navigator users will all receiving the GDPR compliant system as a free upgrade to their existing DMS as part of the next scheduled system update.
