After Sales Administrator to General Manager
40 Hours Per Week Monday to Friday (Flexi -time contract)
Salary: Negotiable
To deliver an excellent administrative support service to senior management of the department and execute administrative support to the department’s after-sales operation whilst working within the Company’s key result areas; Business Performance, Customer Focus, People and Teamwork, Leadership.
The role:
* Arrange travel for departments
* Reconciliation of invoices against bookings (e.g. travel, hotels etc).
* Preparing and distribution of customer letters as required
* Develop and maintain the customer database.
* The management of the ordering, storing and allocation of corporate work wear
* Management of the department’s electronic time – recording system, recording absences, holidays etc.
* Manage the department’s manual attendance forms and holiday authorisations
* Manage the department’s whole training records on the training history matrix, electronically and manually filing copies of all training certificates.
* Preparing letters to all participants who are planned to receive external training
* Arrange and organise company supported social events.
* Manage the department stationery ordering, stocking and miscellaneous office management.
* Booking and organising health and safety tests for engineers
* Arranging for small tool calibrations according to diary dates and the associated record keeping.
* Recording and filing of all certificates relating to engineers lifting equipment.
* Recording of all tools and equipment issued to engineers.
* Undertake to attend meetings and exhibitions off-site and overseas. This may include time spent away from home overnight.
Desired candidate
* Ideally have experience in the construction plant or transport industry, possibly in a parts, warranty or service environment.
Essential skills:
* Computer literate and able to demonstrate uses of IT relevant to role, including Word and Excel
* Have an appreciation of Health and Safety regulations and their application and to be able to benefit from further training.
* To be able to travel overseas as required on occasion.
Company Benefits:
* 20 days holiday per annum (holiday year runs Jan to Dec); plus 3 days given by the Company to cover the Christmas shutdown period and statutory / bank holidays.
